THE PITCH
Real estate is beautiful chaos. One minute you're negotiating repairs, the next you're talking someone off a ledge because the title company needs a document that was supposedly sent three weeks ago. It's a lot. And it's glorious.
JANAINKC is a boutique real estate brand operating in the Kansas City metro with eXp Realty, LLC. We move fast, communicate clearly, and take our clients seriously even when the industry tries our patience daily. We're looking for a gold-star-studded Transaction Coordinator who doesn't flinch at a full pipeline.
If you love systems, deadlines, checklists, and the particular satisfaction of watching a transaction close cleanly -- we should absolutely talk.
WHAT YOU'LL ACTUALLY BE DOING
This is a supporting role -- and that's not a knock, that's the whole point. You're the backbone of the transaction once under contract while I stay focused on clients, listings, and negotiations. You won't be flying solo; you'll always have direction and access to me. But once you know the play, we expect you to run it.
- Manage all files in Dotloop from contract to close -- with organization that would make Marie Kondo weep with joy
- Enter all files in SkySlope (eXp's Compliance Portal) and monitor for Broker feedback
- Monitor and track contingency deadlines, inspection periods, financing timelines, and closing dates
- Add key milestone reminders to the Transaction calendar and invite the appropriate parties -- with FYI or Attendance Required -- so nobody has an excuse to miss a deadline
- Coordinate with title/escrow, lenders, attorneys, co-op agents, and inspectors like the calm, competent professional you are
- Communicate transaction updates to clients in a timely, clear, and reassuring way -- ensuring they are aware of any action items, up to date on status, and any next steps.
- Review KCRAR contracts for completeness and prepare an amendment for anything that looks like a problem before it becomes one
- Keep your lead agent (that’s me) informed and ahead of every deadline
- Chase missing signatures, documents, and earnest money with the relentless professionalism of a golden retriever who will absolutely not stop until the job is done
WHAT YOU MUST BRING TO THE TABLE
These aren't suggestions. These are the actual non-negotiables:
- Active real estate license in Kansas OR Missouri (required -- no exceptions, not even for nice people)
- License held at eXp Realty LLC (this one matters to the brokerage)
- Working knowledge of KCRAR contracts -- understanding forms, timelines, and common landmines is a must
- Hands-on experience with Dotloop -- this is our transaction management system and your new home base
- Detail-oriented to a borderline obsessive degree -- deadlines are sacred, typos are personal failures
- Deadline-driven mindset -- you don't need to be reminded; you set the reminders
WHAT WOULD MAKE US DO A HAPPY DANCE
Not required, but if you've got these -- move to the front of the line:
- A defined, documented contract-to-close process you actually use and can walk us through
- Comfort being client-facing -- you can send an update email and a client actually feels better after reading it
- The patience of a saint when dealing with co-op agents, title reps, contractors, and that one attorney who still faxes things
- Familiarity with Lofty CRM (formerly Chime) -- bonus points if you've actually used it and have opinions about it
COMPENSATION
This is a per-transaction, independent contractor arrangement. Compensation is structured per file and discussed during the interview process based on scope and volume. This is a leveraged role -- if we're busy, you're busy. The upside is real. As we grow (perhaps a team again, someday…maybe) and expand, so will your role, responsibilities and compensation.

- A former team leader who built a team from scratch -- solo agent to 12-person operation -- and knows exactly what it takes to grow something worth being part of
- A former broker/owner who launched a brokerage from zero, built every system and process from the ground up, and grew a boutique solo operation into a 30-person, highly recognized brand
- A former Designated Broker for 800+ agents who knows the contract inside and out, finds creative solutions where others see dead ends, and leads with strategy over reaction
- Someone with a clear method for getting things done today -- and a genuine respect for people who bring better ideas, smarter processes, and a collaborative spirit to the table. We don’t just want a task executor. We want someone who sees what we’re building and wants to be part of making it even better.
WHO YOU ARE (THE VIBE CHECK)
You don't panic when a closing falls apart at 4pm on a Friday. You've been there. You know what to do. You treat clients like humans who are probably stressed out of their minds and need you to be the steady one.
You treat co-op agents with professionalism even when they make you question everything. You treat title reps like partners. You respond to messages. You update the file. You close the loop. You do not leave people wondering or wandering.
